Manage tabs

If you are the budget owner or budget administrator, you can edit, clone and delete the worksheet tabs that were added to the budget workbook.

The Headcount driver tab setup is more complex.

Edit the tab setup

What you can change in a tab setup depends on the type of tab and what stage in the budgeting process you are in. For example, in the case of a Database Driver tab, you can make changes to the tab’s setup details BEFORE you edit the data (enter or change a value) in the worksheet. After you edit the data, you can only change the driver tab’s name, owner and administrators.

Right-click the tab name and click Edit, make your changes, then click Update and Finish.

Clone a tab

As some types of tabs often have complex setups, when you need more of them, it is more efficient to clone them rather than adding new ones from scratch. For example, you might want to have two Database driver tabs based on the same database but with a different filter applied to each one. Cloning is also helpful when you want to edit the setup of such a tab but you cannot do so, as you've entered values already. After you clone the tab, you are free to make those structural changes.

You can clone the setup of Lookup, Reference, Manual Entry, Database driver and Headcount tabs. However, you should note that only the tab structure (setup) is cloned, which means that:

  • If you clone a tab that has a baseline stream, the new tab will be populated with the baseline values but not any of the values that were entered into the original tab. This is illustrated in the image below, where the baseline values in the top row were overwritten by 100 but when that tab was cloned, the baseline values display instead of those entered values.

  • If you clone a Headcount tab, the headcount rows (employee data) are not cloned into the new tab. You will likely want to import different data anyway. The headcount drivers, benefits and benefit plans are cloned.

  • If you clone a Manual Entry tab, you end up with nothing other than a new empty Manual Entry tab, so is not of much value.

Right-click the tab name and click Clone, enter a name for the new tab, then click Clone tab. The new tab displays to the right of the original tab.

Delete a tab

If you are unhappy with how you setup a tab and want to start again, or you no longer need a tab, you can delete it.

When you delete a tab, the entire worksheet and any data it contains is removed from Phocas and cannot be restored.

Right-click the tab and click Delete, then click Yes to confirm the deletion.
