The actions that administrators can perform in the Administration module are governed by the permissions (settings) in the Administration section of the Profile tab in the user maintenance form

For example, your company might:

  • Set up an Administration profile that allows the administrator to set user access to different databases, but not be able to make any changes to the databases or the Phocas environment.

  • Restrict an individual administrator from accessing certain functionality.

Customize the administration permissions for an individual user

  1. Click the Phocas menu button > Administration > Users to open the Users screen, then click the user’s name (blue link) to open the user maintenance form.

  2. Click the Profile tab and scroll down to the Administration section.

  3. Select the checkbox in the Administration section header to allow the user to access the Administration module (the user will see the Administration menu item).

  4. Select the individual permissions as required, or click Select All to give the user full administration permission. See the list below. Depending on your own administration permissions, you might not see all of the permissions.

List of administration permissions (in alphabetical order) along with what they allow you to do or access.

  • Allow administrators to change a user’s Profile to a higher administration access level

  • Configuration - Access the Configuration screen.

  • Connector

  • CRM - Add or change a CRM drop-down option and manage deleted items.

  • Dashboards - Access the Databases administration screen and the Dashboards tab in the user maintenance form.

  • Databases - Access the Databases section in the Bulk Update and Import Users windows.

  • Databases: Add Database - Add new databases via Databases administration screen.

  • Databases: Create Database and Build Database - Create, design and build a database.

  • Databases: General - Access the Databases administration screen.

  • Favorites - Access the Favorites administration screen and Favorites tab in the user maintenance form.

  • Folders - Access the Folders administration screen.

  • Period Types (advanced functionality; not typically available).

  • Profiles - Access the Profiles administration screen. This setting also allows the user to assign profiles with administration privileges when used in conjunction with Users: Profiles.

  • Logs - Access the Logs screen to view the error logs.

  • Settings - Access the Settings tab in the user maintenance form and Settings option in the Bulk Update window.

  • Staging - Access the staging data for database builds.

  • Sync

  • Users:

    • All Users - Access the user maintenance form for all users.

    • Users In Same Group - Access the user maintenance form for just those users in the same group as the administrator. Can be used in conjunction with Users: Users In Same Territory. Your other profile settings also affect what changes you can make in this form.

    • Users In Same Territory - Access the user maintenance form for just those users in the same territory as the administrator. Can be used in conjunction with Users: Users In Same Group. Your other profile settings also affect what changes you can make in this form.

    • Users: Database Access - Access the Databases tab on the user maintenance form and Database view in the main Users screen. Only the users whom the administrator has permission to administer will be visible in this screen. If you do not have any permissions to administer users, you will see an empty table.

    • Users: Profiles - Access the Profiles tab on the user maintenance form and Profiles setting in the Bulk Update window. If a user has Users: Profiles but not Profiles they will not be able to assign profiles containing administration privileges.

The following information is for advanced administrators and relates to the default settings for the Administrator profile.

New installs

By default, the Administrator profile has all the administration permissions (settings) enabled, except for Audit, Configuration, Environment, Errors, Settings, Staging, Databases: Create Database and Databases: Build Database.

Upgrades

By default, the Administrator profile has all the administration permissions (settings) enabled, except for Audit, Environment, Errors, Staging, Databases: Create Database and Databases: Build Database.

If any users with the Administration permission have a user-specific profile, all administration profile settings are enabled, except for Audit, Environment, Errors, Staging, Databases: Create Database and Databases: Build Database.
