Layouts are different configurations of a budget or forecast worksheet. A layout can include dimension filters, search results and/or the status of the workflow column (whether it is expanded, collapsed or partially expanded).

You can configure and save multiple layouts for each worksheet, to get different views of the same budget or forecast.

The ability for each user to save their own layouts removes the need for budget owners and administrators to create multiple workbooks to satisfy the needs of different audiences. Each budget or forecast user can customize the worksheet to view the information they need more quickly.

For example, suppose your business operates in three countries (Australia, USA and UK) and you have one budget workbook with data for all three countries. You can apply a filter to view the budget for Australia only and save that view as a layout. You can then repeat that step to save layouts for each of the other two countries, to create four layouts in total; the original consolidated budget and one for each country.

Save a layout

  1. Set up (configure) the worksheet in a particular way. For example, you might want to apply a filter, search for a specific item and/or expand the workflow column.

  2. Click Layout None > Save as new custom layout… above the grid.

  3. Enter a name for the layout and click Save.

Apply a layout

You can switch between different layouts to automatically change your view of the worksheet.

Click Layouts and select the layout you want to apply.

Edit a layout

When you apply a layout, if you then change the worksheet configuration, the layout is different. You have the option to revert to the original layout, update the original layout with the changes or create a new layout (and leave the original intact).

  • To undo your changes and revert to the original layout, click Layouts > Revert to [layout name]. The grid updates and reapplies your original layout.

  • To save your changes and update the original layout, click Layouts > Save Changes to [layout name]. The grid remains in the updated layout.

  • To save a new layout and leave the original as it was, click Layouts > Save as New Layout, then enter a name for the layout and click Save. The grid remains in the new layout and that layout is added to the list of layouts.

Delete a layout

If a layout is no longer useful, you can delete it. When you delete a layout it is removed from the list of layouts, so it is no longer available for other users to apply.

Apply the layout you want to delete, then click Layouts > Delete Layout > Delete.
