A summary is used to display just one number (e.g., total branch sales for the month, value of goods in a warehouse or profit for the quarter), either alone or with a color-coded 'traffic light' or 'smiley'. The summary will typically be red or yellow until a target is met or exceeded, at which point it will turn green.  You can also use arrows to represent upwards or downwards trends, when used with Variance or %Variance metrics.

On the dashboard below, 'Current month' sales are flagged by a happy green smiley - alerting the user that results for the period are on or above target.

Summaries can typically be saved as alerts that automatically appear on your home screen or dashboard when performance against a target reaches a certain point.

Example: Create a 'Smiley' summary that shows monthly sales

In this example, the chart has been configured so that as targets are met the color changes from red through to yellow and then to green.

Step 1. From a Sales database, prepare your grid as follows:

  • Select Period > Current month
  • Choose 'Customer' dimension
The grid will show total sales for the current month.

Step 2: Choose Chart and use the settings to determine how the chart appears.

We can see that so far this month, we haven't reached our target of $4m, so the Summary is yellow. If we save this to view later in the month, we will expect it to turn green to indicate that the target is met.

The chart can now be saved as a favorite or added to the dashboard (also see Add a widget from the grid).

Emoji summary charts

You can personalise a summary chart by using an emoji for visual effect instead of a more traditional traffic light or smiley. Note that 'Windows 7' doesn't support this feature, as it has no built-in emoji picker.

  • Do your data analysis as usual, then go to Chart view and choose Summary chart type
  • In the 'Summary type' dropdown, select 'Emoji'.
  • Instead of a color, insert an emoji of your choice for each range
    • On Windows use the Windows key + semi colon ( ; )
    • On a Mac use Control + Command + Space bar

  • Set your 'To' and 'From' spans for each range. In the screenshot below, the user has chosen a party celebration fr the good news, a 'thinking' face for the not-so-good news and and a 'frowning' face for the bad news.

  • Fortunately, the results are pleasing - as you can see from the party hat on the dashboard below.

Note that you can't save an emoji summary chart as an alert, only as a favorite.
