Query settings

Most users, even with a 'Basic' profile, are able to perform standard queries and use basic functionality. User profile settings determine what a user can do in the Phocas grid, i.e., perform queries, switch modes, select and set periods, change properties, search, format, etc. 

To change these permissions, either:

  • Go to Administration > Profile to change a standard profile, or

  • Go to Administration > Users and select a specific user. Make changes from the 'Profile tab' on the user maintenance screen.

In both cases, go to the section heading 'Query'.

  • Options appear either in the area underneath the 'Query' heading, or in individual  boxes, e.g., 'mode' or 'format',

  • Tick or untick as required and save the changes. Note you need to scroll to view all options under some subheadings, e.g, modes.


Default query settings

A number of commonly used query settings are 'on' by default in all system user profiles, and can be manually removed from a user's profile.

Similarly, some settings are restricted by default and need to be enabled manually.

Permission to export and copy

Users need the Clipboard option checked within the Export box in profile settings in order to be able to copy data from within the grid.


Permission to upload a file outside of Designer

Ticking Allow file upload allows users to upload CSV, Excel and selected document types as a source without requiring administration privileges. This permission does not grant access to use Designer, see any sources or items or to upload via sync.

User with permission will see a File upload option below the dabatase list in the Phocas menu.

To do this they:

  • Select or drag a file to upload

  • Choose whether to give the file a header row

  • Place it in a personal or shared source folder

  • Give it a name (it will be treated as a new file), or use it to replace an existing file

  • Select Upload. In the case of replacing a file, a red Replace button will appear instead.

  • Once their file is uploaded they will see a message advising them to let their administrator know the file is available.
