Create new levels in your statement

  • In addition to customizing the top levels of your statement you can create new levels, in order to take full advantage of the multi-nested view in the Phocas grid. You achieve this by creating a new dimension, adding sub-categories to it and mapping your accounts to these new categories accordingly, as outlined below.

  • E.g., you might want to create your own levels under, say, 'Income', for 'Cost centre', 'Department', and so on, to enable you to drill down and see these details at a glance on the grid.

  • In the Accounts tab select the green plus and name your new dimension. In the example below the user has created a dimension named 'Sub Category'.

  • The newly created dimension 'Sub Category' appears as a column with no content, ready for you to create the sub categories and map accounts to them. 

  • Once you select an account row, the 'Sub Category' header becomes active. Type in a name for your new sub category (as shown in the image) and hit Enter to apply it to the column. Repeat this for any other sub categories you need.

  • The sub category will appear next to the relevant account.

  • Once you are happy with your mappings, Save

  • A ‘database build’ is required for your changes to take effect in the Phocas grid. The build occurs in the background, so you can continue working in Phocas.

  • To trigger a build select Close and then also select Close in the remaining window. You will be asked to confirm if you want to a rebuild to occur. While the database is building you will be returned to the Phocas grid and a progress dot in the top right of Phocas will blink.

Below, the new groups, with nesting applied. The 'Services' level that you created within the new 'Sub Category' dimension is expanded.
