    Provided the Phocas Financial Statements module has been enabled for your site, you can give users permission to manage the financial statements. Typically a change to this access enable two Financial Statements permissions for users. Typically, these permissions would be requested by someone in the your Finance team.With this permission, Financial Statements users will see an additional option called Statements in the Actions menu (image on the left below), which allows them to make

    • Manage Custom Statements - Make changes to the financial statements, such as

    add
    • create new statements and customize the layout and content of

    the
    • statements.

    • Access Restricted Account Transactions - Access the accounts that have restricted access. Users with permission to manage

    financial statements either via an individual user’s profile settings or via a site-wide profile.

    Give permission to an individual user

    1. Click the Phocas menu button > Administration > Users, then click the user’s name (blue link) to open the user maintenance form.

    2. Click the Profile tab.

    3. Select one of these options:

      • Assign the user a profile containing the Manage Custom Statements permission.

      • Select the User Specific profile, scroll down to the Financial Statements section* (towards the bottom of the screen) and select the Manage Custom Statements checkbox.

    4. Click Save.

    Give permission to a user profile

    All users with the particular profile will have access to customize financial statements (provided they have access to the finance database).

  • Click the Phocas menu button > Administration > Profiles.

  • Ensure the profile exists, if create a new profile.

  • Select the profile from the list.

  • Scroll down to the Financial Statements section* (towards
    • custom statements (above) can restrict other users from accessing specific accounts, such as those that have sensitive information like payroll details. The Access Restricted Account Transactions permission overrides that restriction, allowing users to view all accounts.

    On the user’s maintenance form > Profile tab, either assign a profile that contains these permissions or go to the Financial Statements section (near the bottom of the screen) and select

    the Manage Custom Statements checkbox.
  • Click Save.

    *If you are an administrator but do not see the Financial Statements section on the settings screen, it means your Phocas site doesn’t have the Financial Statements module. For information about getting Phocas Financial Statements, please contact your Phocas Account Manager.
