You can customize your CRM module by adding new tabs and fields to entity (account, activity, campaign, contact or lead) screens.

For example, the image on the left below is a standard screen (or form) for an account; it contains the three default tabs (Account, Contacts and Activities). The image on the right shows an account screen with three additional, custom tabs.

When new tabs or fields have been added an entity type, such as account, they display for all entities of that type.

Open the CRM customization tool

Click the Phocas menu button > Administration > CRM Customisations.

On the Customisation screen, you can view a list of your custom items (tabs and fields), add more items and delete items.

Add a custom item

  1. On the Customisation screen, click New.

  2. Enter a name for the customisation, and a description if required.

  3. Select the entity (account, activity, campaign, contact or lead) from the dropdown list.

  4. Select the customisation type:

    • Tab of fields - A new tab containing fields.

    • Table of rows - a new tab containing a table.

    • Fields on main tab - adding fields to an entity's tab.

  5. Select whether the customisation is editable. If if it is editable, the Entity and Type cannot be changed.

  6. Click Save.

  7. Click the Fields tab and add the fields:

    1. Click New.

    2. In the Field form, enter a name for the field, and a group if required.

    3. Select the field type: Date, Date Time, Integer, List (dropdown list), Number, Text or Text Area

      • After you save the Field form, you cannot change the field type.

      • If you select the List option, enter the options into the box that displays, separated by a pipe (|) character without space, illustrated in the image below.

    4. Either click Save and New (if you want to add another field) or Save and Close as required.

  8. Click Save and Close. The new custom item, which is a tab in this example, displays in the list on the Customisation screen, and when you open the applicable entity, which is an account in this example.

Add new fields to an existing Contacts form

  1. On the Customisation screen, click New.

  2. Enter Social as the name.

  3. Select the Contacts entity.

  4. Select the Fields on main tab customisation type.

  5. Proceed to add the required fields and save the new custom item. Refer to the basic steps above.

Use CRM custom fields in Analytics

You can add CRM custom fields as properties in your CRM analysis database. In Designer, custom fields automatically display in the data sources panel, available to drag into your design. 

Add (connect) the CRM field data to the database, then map those items to the Properties section of the database. After you build the CRM database, the fields display as properties in Phocas. Watch this video to learn more.
