Administration QuickStart

As an administrator, you control user access at various levels of Phocas: setup, databases, dashboards, favorites, data sharing and functionality. Your administration permissions will determine how much you can do.

Get started with the Administration module

The best place to quickly get started with Phocas Administration is our Resource Center in Phocas. When you open an Administration page for the first time, the QuickStart feature displays on the bottom-right side of your screen. It contains a checklist with guided tours that step you through the basics. You can click the Resource Center button near the bottom of the Phocas menu on the left to access other helpful links.

For detailed steps, click on the links below.

  • Create a new user - Add new users and set their permissions.

  • Clone a user - Save time by using Clone to create a user account with most of the same settings as an existing user.

  • Manage user restrictions - Specify what data users can see in Phocas.

  • Update users in bulk - Save time by applying settings, permissions, and database restrictions to multiple users at the same time using the Bulk Update tool.

  • Manage user passwords - Reset passwords for individual or multiple users, or force users to change their passwords.

Learn about the key Phocas elements and concepts

The data components and features that users see in their Phocas modules are determined by how Phocas is set up, and what fine-tuning has been carried out via the Administration module. Phocas uses standard data analysis terms, along with a few of our own. Most of your users will be working in the Analytics or Financial Statements modules, where they will see a grid, a menu of functions, and a list of dimensions. If you are not already familiar with these concepts, keep the glossary at hand and read the following pages:

  • Take a tour of Analytics

  • Get started with Financial Statements

You can find information on the other Phocas tools you should be familiar with, such as dashboards and favorites, in the Phocas basics pages.
