Manage Headcount driver benefits

This page is currently being updated, as we have recently redesigned the headcount feature.

You can add the benefits information when you setup the Headcount driver initially, or you can add or edit it later. The process involves three steps: add benefits, add benefit plans and assign benefits to benefit plans. When this information is all setup, you can then select the applicable benefit plan for each employee. The system automatically calculates the employee’s benefit value, along with how much it will cost over the budget period (taking the employment end date into account) and displays these values in the Benefit and Budget Period Cost columns respectively.

Add a benefit

  1. Select the applicable option:

    • If you are in the process of setting up the Headcount driver tab and the settings window is open, click the Benefits tab.

    • If you have already set up the Headcount driver tab, click the Headcount settings button in the header to open the settings window, then click the Benefits tab.

  2. Click the blue Add button to add a row.

  3. Enter a name for the benefit and a description, if required.

  4. Set up the benefit calculation:

    • To use a fixed amount per annum, select Fixed amount p/a as the Calc method and enter that amount in the Calculation box.

    • To use a percentage of the employee’s remuneration, select % Remuneration as the Calc method and enter that percentage value in the Calculation box, then enter floor (minimum) and cap (maximum) values, if required.

  5. Select the applicable General Ledger account code, for example Employee Benefits. If you do not see the account code in the list, you need to add it on the Drivers tab, (you can do this now and return to the Benefit tab afterwards).

  6. Select the FTE checkbox, if this benefit applies to full-time employees only.

  7. Repeat the above steps 2-7 to add more benefits, if required.

  8. Proceed to add a benefit plan (see below).

*The FTE checkbox is used to prorate the benefit for non-FTE employees. For example, if an employee works part-time and is 0.5 FTE in the Headcount worksheet, only 0.5 of the benefit is applied. This setting only applies to fixed amount benefits because the percentage of remuneration benefits already factors this in (the remuneration is at a part-time rate).

Add a benefit plan

  1. In the settings window, then click the Benefit Plan tab.

  2. Click the blue Add button to add a plan, then enter a name for the plan.

  3. Repeat the above step to add more plans, if required.

  4. Proceed to allocate benefits to the plans.

Allocate a benefit to a benefit plan

  1. In the settings window, on the Benefit Plan tab, either:

    • Drag a benefit from the left and drop it in the applicable benefit plan box on the right.

    • Click the Select all link, then drag and drop the selection into the applicable benefit plan box on the right.

  2. Repeat the above step to allocate all benefits to the applicable benefit plans.

  3. Click Save and close.
