Typically accounts are created automatically in Phocas when a new customer is added to your company's ERP system. 

You can then manually add an account to CRM in one of the following ways:

Add a new account from CRM

Step 1. Select 'New' from Accounts home

Step 2. Populate the required necessary fields in the window that opens (shown below), and Save. See Account Record Standard Fields for an explanation of each field. Note: You only need to populate the fields required for your business.

A message will appear briefly at the top of the screen to indicate if the account has been successfully added (or otherwise). After saving, new tabs and icons will appear allowing you to add contacts or add activities to the new account.

Add a new account from within Phocas

Note: You may require administration privileges to add an account to CRM from within Phocas. 

Step 1. From Phocas, open the appropriate database (e.g. 'Sales') and select a dimension (e.g. 'Customers').

Step 2. Select a row (so that it turns blue) and chose  > Actions > Add/update account, as shown. It is important that you select the customer/s you want to update.

 Step 3. Map the fields in CRM with those in Phocas using the drop down to select the correct option. In the example below, Phone in Phocas is mapped to Telephone in CRM. Fields can be left blank, but will not be included in the export.


Step 4Run. A message will appear briefly at the top of the screen to indicate if the account has been successfully added.

Check on number of customers updated

If you don't make a selection on the grid before choosing Add/update account it is possible that you could inadvertently adding or updating all customers in CRM. If you are about to do this, you will see a confirmation message displaying the number of rows you are about to include in the integration, as shown below.
