What is a lead?

A lead is someone who

may

might present a new business opportunity

and who

. A lead does not belong to an account. A lead is different to a contact.

Click the Phocas menu button > Leads.

The Leads

lists

displays a list of all the leads you have permissions to view. You can view, edit and delete individual leads from here.

Filter your view of leads

You can filter by inactive or active leads or by owner or via a text search on the lead name or number. More than one filter can be applied at the same time. Filters

Find a lead

On the Leads screen, you can find a particular lead using the filter and search options above the grid or by sorting the list.

  • Use the Active filter to switch between viewing active and inactive leads in the list.  

  • Use the Owner filter to display only your leads or leads that belong to another user (that you have permissions to view).

  • Use the Team filter to display leads allocated to a specific team to which you belong.

  • Use the Search box to search for a specific lead by name. This performs an is like search on the name column.

  • Click a column heading to sort data into ascending or descending order. 

Filters remain active until you turn them off

Show inactive leads

By default, only active leads are displayed. To view your inactive leads, select the Active filter button, and choose 'Inactive'.  

Search for leads

You can search for a lead by name. This performs an 'is like' search on the name and company columns. More about Searching in CRM.

Is Active

Active leads typically include people that are potentially doing business with you. Inactive leads might no longer present an opportunity for future business. Rather than delete the entire lead and all the associated activities, it is often better to mark these leads as inactive.

  1. On the Leads screen, click

 You can do this from Leads home or anywhere else in CRM where the lead name appears in blue as an active link. You can view and edit lead information via two tabs ('Lead' and 'Activities').

Here you can edit basic information about the lead, such as
  1. On the lead record:

    • Lead tab - View and edit the lead’s details, such as its name, owner and address

details. The lead owner is the Phocas
    • , and assign the lead to another owner (CRM user responsible for communicating with that lead).

Once complete, save and close.
    • Activities tab

Here you have the ability to edit activities relating to the lead. The process for editing lead activities is similar to viewing or modifying activities. Once complete, save and close
    • - View and edit the activities assigned to the campaign, or delete (remove) activities from the campaign.  

  1. Click Save > Close.

Convert a lead into a contact

Typically,

once

when the lead becomes a customer, you can

use Convert in Phocas CRM to convert leads

convert the lead records into contacts.

 Select the lead from Leads home so that the whole line turns blue.
Image Removed Select Convert, choose the appropriate account and Save.
The lead will then disappear from leads and appear instead as a contact

Contacts, unlike leads, cannot exist in isolation in CRM and must be assigned to an account. 

When you convert a lead to a contact, the lead disappears from the list on the Leads screen and displays in the list on the Contacts screen instead. Any activities assigned to the lead are retained.

This is because contacts, unlike leads, cannot exist in isolation in CRM and must be assigned to an account. 

Delete a lead

To delete, select anywhere on the row (avoiding any links) so that the whole line turns blue. Then choose Delete.
  1. On the Leads screen, select the lead row (it turns blue) and click Convert.

  2. Select the appropriate account and click Save.

If you do not have delete permissions, the

You can talk

Talk to your administrator about your permissions. Deleted items can be restored by administrators.

On the Leads screen, select the rows of the leads you want to delete (they turn blue) and click Delete.

Note

In older versions of Phocas, deleting a lead also deletes activities associated with it, so you are deleting the entire history of that lead. An alternative is to mark the lead as
