Managing customisations

To view, add or delete custom tabs and fields go to Administration > CRM Customisations (as shown below).

Example - add a new tab containing fields

Open the CRM customization tool

Click the Phocas menu button > Administration > CRM Customisations.

On the Customisation screen, you can view a list of your custom items (tabs and fields), add more items and delete items.

Add a custom item

  1. On the Customisation screen, click New.

  2. Enter a name for the customisation, and a description if required.

  3. Select the entity (account, activity, campaign, contact or lead) from the dropdown list.

  4. Select

    • Tab of fields

    • Table of rows - a new tab containing a table.

    • Fields on main tab - adding fields to an entity's tab.

  1. Select whether the customisation is editable.

  2. Click Save.

  • Add fields to the tab. The field types are: Date, date time, list, number, text and text area. 
  • Note about 'list' field type. This field type provides users with a dropdown list. Enter the options separated by a 'pipe' or '|' character without spaces (as shown below).

  • Save. Note that once the field form has been saved, field type cannot be changed.
  • The new tab will now appear for accounts, as shown below.

Example - add new fields to an existing 'contacts' form

  • Select New, name the customisation 'Social' and select the 'Contacts' entity 
  • Select 'Fields on main tab' customisation type

  1. Click the Fields tab and add the fields:

    1. Click New.

    2. In the Field form, enter a name for the field, and a group if required.

    3. Select the field type: Date, Date Time, Integer, List (dropdown list), Number, Text or Text Area

      • After you save the Field form, you cannot change the field type.

      • If you select the List option, enter the options into the box that displays, separated by a pipe (|) character without space, illustrated in the image below.

    4. Either click Save and New (if you want to add another field) or Save and Close as required.

  2. Click Save and Close. The new custom item, which is a tab in this example, displays in the list on the Customisation screen, and when you open the applicable entity, which is an account in this example.

Add new fields to an existing Contacts form

  1. On the Customisation screen, click New.

  2. Enter Social as the name.

  3. Select the Contacts entity.

  4. Select the Fields on main tab customisation type.

  5. Proceed to add the required fields and save the new custom item. Refer to the basic steps above.
