When you access the Financial Statements module, the first financial statement you see and the way it looks is determined by the default view, which initially is a ‘standard view’ that is set up by the person in your organization who has permission to manage custom statements.
You can change your view of the financial statements to suit your needs. If you have a preferred view of a statement, you can save it as a favorite. You can then set one of your favorites as your default view, so every time you access the Financial Statements module, it opens in that view, saving you time and letting you get straight to work.
Nothing you do within the Financial Statements module affects any of the data in your ERP system, so you can change the view as much as you like, then can slice and dice the information right down to the transactional level.

Open a financial statement
The Statement menu in the top left corner allows you to switch between your Profit and Loss, Balance Sheet and Cash Flow statements, and your Trial Balance. This menu also includes quick links to your Phocas Analytics modes, if applicable.
Click the Statement menu to view the list of statements, then select the statement you want to view. The corresponding financial information displays in the statement grid, at the summary level, as indicated by the blue Financial Statements Summary button.

The Trial Balance does not show balances in the traditional sense, it shows the period over period movement in each account. Coming soon is the ability to see balances. |
Expand and collapse the rows
The financial information in the grid is organized into expandable groups (categories).
Click the Expand all button or Expand button, where available, to expand the rows and view the lower-level detail.
Click the Collapse all button or Collapse button, where available, to collapse the rows and return to the summary-level view.
Change the sort order of the accounts
By default, the General Ledger accounts within the groups display in ascending code order. You can switch between descending and ascending sort order as required.
When the groups are expanded, right-click any row within a group and click Sort Ascending or Sort Descending, as applicable.
